Privacy Policy
Last updated: June 18, 2026
1. Introduction
Welcome to Nerpa. We respect your privacy and are committed to protecting your personal data. This Privacy Policy explains how we collect, use, and safeguard your information when you use our AI note-taking system, desktop applications, and mobile services.
2. Information We Collect
2.1 Personal Data
We collect information that you provide directly to us when you create an account, such as your name, email address, and payment information.
2.2 Audio and Transcription Data
To provide our core services, Nerpa transcribes the audio recordings you record on your computer. Transcription runs on your computer, and raw audio stays in a local folder on your computer; it is not uploaded for transcription. This includes creating transcripts, speaker labels, and related note data in the app. Features you choose to use, such as AI notes and summaries, syncing between your devices, and shareable links, may process or store the resulting note data on our servers. Content tied to your account only becomes public if you explicitly share it.
2.3 Calendar and Task Data
If you connect your calendar (Google or Apple), we collect meeting metadata such as event titles, times, attendee information when available, descriptions, and conference links. We use this to display your meetings in calendar views, match recordings to events, and help you keep notes organized around the conversations you already have on your calendar.
3. How We Use Your Information
We use the data we collect for several purposes:
- Service Provision: To generate transcripts, summaries, speaker labels, notes, and calendar-linked conversation views.
- Organization: To help you map speakers to people, search your history, and keep follow-ups in one place.
- Communication: To send you updates, security alerts, and support messages.
- Improvement: To refine our AI models (only using anonymized and aggregated data where users have opted in).
4. Data Storage and Security
We implement industry-standard security measures, including AES-256 encryption for data at rest and TLS/SSL for data in transit. Raw audio files stay in a local folder on your computer. Transcripts, summaries, and calendar-linked note data that you sync or share are stored in secure cloud environments with strict access controls. Temporary local storage may be used by the app while recording, processing, or preparing exports.
5. Your Rights and Choices
You have the right to access, correct, or delete your personal data at any time. You can export your transcripts or delete your entire account through the settings menu in the Nerpa application.
Free Transcription Tool
The free transcription tool at /tools/free-transcription works without an account. This is what it processes and stores:
- Your audio file is uploaded to private storage, used for transcription on our own hardware, and deleted immediately after processing (and in any case within 24 hours by an automatic retention rule).
- The text result is stored for 24 hours so you can return to the page and retrieve it, then it is deleted.
- A salted hash of your IP address and an anonymous device cookie are used only to apply daily usage limits. Raw IP addresses are not stored.
- Cloudflare Turnstile (a human check) protects the tool from automated abuse; Cloudflare acts as our security gateway - see their privacy policy for the data they process.
Your files and transcripts are never used for model training and are never shared with third parties. To have a result deleted sooner, contact us with the job identifier from your browser's local storage.
Cookies on This Site
We count visits cookie-free by default. The cookie banner (bottom of the page) lets you choose:
- Reject / no choice - analytics (PostHog) runs in cookie-free mode: no persistent cookies are set on your device, and Google Ads tags are not loaded.
- Accept - adds analytics cookies (PostHog, to recognize your browser between visits) and Google Ads cookies (_gcl_au), which let us measure whether our ads bring sign-ups. No advertising profiles are sold or shared.
Your choice is stored in your browser's local storage and can be changed anytime via the "Cookie settings" link in the footer of any page. The language preference is also kept in local storage, not in a cookie.
Affiliate referral cookie. When you visit our site through a partner's link, we set a first-party cookie affonso_referral that stores an anonymous referral identifier for 30 days. It is used only to credit the partner whose link you followed if you later make a purchase - it contains no personal data and is not used for advertising or shared with third parties beyond that attribution purpose. If you clear your cookies, the referral attribution is simply lost.
6. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any significant changes by posting the new policy on this page and updating the "Last updated" date.
